Introduction

Judging a trumpet contest for the performance of “Taps” is an undertaking that requires meticulous attention to musicality, adherence to tradition, respect for the solemn character of the composition, and a transparent, equitable process for all participants. This document provides a framework for organizers and judges, ensuring that every contestant is evaluated fairly and consistently, while upholding the dignity and ceremonial importance of “Taps.”

1)          Selection Phase

a.          Purpose and Scope

                                                                                              i.                  The contest is local in scope from schools in Collin County.

                                                                                           ii.                  Participants will submit recordings for the Selection Phase which will then be judged by the number of “likes” recorded on our YouTube channel.

                                                                                         iii.                  The contest is open to all high school age students.

                                                                                         iv.                  The top 8 video performers with the most “likes” will be invited to perform live at one of the Plano Flags of Honor Retirement of Colors events on November 8-15, 2025.  The performance will be videoed and submitted to an independent panel of judges. The judges will select the Ceremonial Bugler of the Year.

2)          Judging Criteria and Panel Phase

a.          The Judging Panel

                                                                                              i.                  Recruit judges with expertise in trumpet performance and a background in ceremonial or military music, if possible.

                                                                                           ii.                  Include a minimum of three judges to mitigate bias and ensure a balanced perspective.

                                                                                         iii.                  Provide judges with clear guidelines and training on the judging process and the significance of “Taps.”

b.          Contest Rules and Guidelines

The following version and arrangement of “Taps” is to be performed to maintain consistency. (Please note the rhythm.) 

                 https://form.jotform.com/252353655653158                                                                             i.                  The duration should be approximately 60 seconds and performed from memory. Any type of trumpet/bugle is allowed.

                                                                                           ii.                  Submission requirements for recordings – 

1.          Absolutely NO post-processing other than cropping for length.

2.          File format shall be one of the following:

a.          .MOV

b.          .MP4

c.          .AVI

d.          .WMV

                                                                                         iii.                  Consequences for rule violations –

1.          Disqualification for editing recordings.

b.          Evaluation Rubric

                                                                                              i.                  Design a scoring sheet with defined criteria and point values.

                                                                                           ii.                  Ensure the rubric covers the essential elements appropriate for “Taps.” (See Section 4 for details.)

                                                                                         iii.                  Share the rubric with all participants prior to the contest.

2)          Administration Phase

a.          Contestant Registration

                                                                                              i.                  Open registration through the event’s website – www.PlanoFlagsOfHonor.com.

                                                                                           ii.                  Collect necessary information: name, age, experience, contact details, and, if applicable, school affiliation.

                                                                                         iii.                  Confirm eligibility and distribute contest rules and rubric to all registrants.

b.          Scheduling and Logistics

                                                                                              i.                  Virtual selection phase- September 1-30, 2025

1.          Cell phone video is to be uploaded through the event’s website using this link – 

2.          After receipt of the uploaded video an event title page with the performers name and school will be affixed to the front and back end of the video.

3.          The complete video will be uploaded to the event’s YouTube channel, and a link will be provided to the submitter within 24-48 hours.

4.          The submitter is encouraged to circulate the link to the YouTube video to their circle of influence and request viewers to “Like” the video.  

5.          On October 1, 2025, the number of “Likes” will be tabulated and the top 8 will be contacted to schedule their live performance. In the event a performer selected is unable to perform live for whatever reason, the perfumer with the next highest number of “Likes” will be substituted.

                                                                                           ii.                  For live events, schedule performance slots, allowing adequate warm-up time for each contestant.

                                                                                         iii.                  Arrange for suitable locations, equipment (music stands, chairs, etc.), and technical support for live or recorded performances.

                                                                                         iv.                  Ensure a respectful environment free from distractions, with clear signage about the solemn nature of “Taps.”

c.          Briefing for Live Contestants

                                                                                              i.                  Provide a pre-event briefing to all contestants, reiterating rules and expectations. This briefing will be virtual on approximately October 15, 2025.

                                                                                           ii.                  Participants will be allowed an opportunity for questions regarding performance specifics or rubric details.

                                                                                         iii.                  Remind participants of the ceremonial importance and emotional weight of “Taps.”

3)          Performance Evaluation Phase

a.          Core Evaluation Criteria

                                                                                              i.                  Judges should score each performance according to clearly defined criteria:

1.          Technical Accuracy: Correct notes, rhythms, and intonation throughout the piece.

2.          Tone Quality: A pure, resonant, and consistent trumpet sound appropriate for solemn occasions.

3.          Phrasing and Expression: Sensitive shaping of musical phrases, appropriate use of dynamics (softness/loudness), and emotional communication reflecting the somber character of “Taps.”

4.          Tempo and Timing: Consistent tempo in line with ceremonial standards (traditionally slow and steady), with no rushing or dragging.

5.          Breath Control: Smooth, unobtrusive breathing, especially at phrase ends, maintaining line integrity.

6.          Stage Presence and Demeanor: Respectful posture and behavior, appropriate attire (e.g., uniform if applicable), and an understanding of the piece’s importance.

7.          Overall Impact: The performance’s ability to move the audience and honor the spirit of “Taps.”

b.          Scoring System

                                                                                              i.                  Judging will be performed virtually by viewing the video of the live performance.  Judges will undoubtably be in different geographical locations.

                                                                                           ii.                  10 points are assigned to each criterion for a total possible score of 70 points.

                                                                                         iii.                  Judges are encouraged to write brief comments justifying scores and offering constructive feedback.

                                                                                         iv.                  Judges are Instructed to refrain from discussing performances with one another until all scores are submitted, to prevent undue influence.

                                                                                            v.                  Special Considerations

1.          In cases of a numerical tie, the judges will perform a coin-toss to select between the tied participants.

4)          Post-Contest Procedures

a.          Score Tabulation and Verification

                                                                                              i.                  A member of the Plano Flags of Honor Rotary Community Corps will be designated a contest official to collect and tally all judges’ score sheets.

                                                                                           ii.                  The official will double-check calculations for accuracy and resolve discrepancies through consultation with judges if necessary.

                                                                                         iii.                  Keep all score sheets on record for transparency and possible inquiries.

b.          Announcement of Results

                                                                                              i.                  The Ceremonial Bugler of the Year will be announced with a Press Release and posting on the Plano Flags of Honor website and social media.

                                                                                           ii.                  All participants will be offered feedback, highlighting strengths and areas for improvement based on judges’ comments and if appropriate, invited back next year.

                                                                                         iii.                  The Ceremonial Bugler of the Year will receive recognition of the award at a Plano Rotary Club meeting and receive a $2,000 scholarship.

                                                                                         iv.                  The first runner-up will receive a $1,000 scholarship.

                                                                                            v.                  The second runner-up will receive a $500 scholarship.

c.          Gathering Feedback

                                                                                              i.                  Solicit feedback from judges and contestants about the contest process to identify areas for future improvement.

                                                                                           ii.                  Document any issues encountered and recommendations for subsequent contests.

5)          Ethical Guidelines and Best Practices

a.          Impartiality and Fairness

                                                                                              i.                  Disclose any potential conflicts of interest among judges and address them proactively (e.g., judge recusal).

                                                                                           ii.                  Apply rules and grading rubrics uniformly to all participants, with no exceptions.

                                                                                         iii.                  Respect the privacy of contestants and refrain from sharing personal information without consent.

b.          Sensitivity to the Significance of “Taps”

                                                                                              i.                  Remind judges and participants alike of the ceremonial and emotional importance of “Taps.”

                                                                                           ii.                  Discourage frivolity or showmanship that detracts from the piece’s solemn character.

                                                                                         iii.                  Maintain an atmosphere of respect throughout the event, from initial briefings to final announcements.

c.          Accessibility and Inclusion

                                                                                              i.                  Ensure that all qualified individuals, regardless of background, have equal opportunity to participate.

                                                                                           ii.                  Accommodate contestants with disabilities as required, without compromising contest integrity.
